Why This Matters#

Clients pay for results, not for a "cool agent": time saved, revenue growth, fewer errors. Knowing how to calculate and show impact is a key skill for earning.

Key Idea#

Impact = time + money + quality

Any project can be evaluated along these three axes. Clients need to understand how much they'll save or earn.

1. Time Savings

How to calculate:

  • how many times per day/week the task is performed

  • how many minutes one task takes

  • total time per week/month

Example:

A manager answers 20 typical questions per day, 5 minutes each.

20 × 5 = 100 minutes = 1.7 hours per day

Per month: 1.7 × 22 = 37 hours = almost a week of work

Agent handles 80% of questions → saves ~30 hours per month

2. Money

How to calculate:

  • cost per hour of employee work

  • or potential revenue from freed-up time

Example:

Manager's hour costs ~$7.

30 hours saved = ~$200/month

Per year: ~$2,400.

Or: freed-up time goes to sales → 2–3 extra deals per month

3. Quality

How to assess:

  • fewer errors

  • higher conversion

  • better customer experience

  • faster response

Example:

  • application errors dropped from 15% to 3%

  • customer response time: from 2 hours to 2 minutes

  • lead-to-deal conversion: +20% from faster response

Simple Impact Formula#

Impact (per month) = number of tasks × time per task × hourly cost × automation percentage

Example:

  • tasks: 400 per month

  • time: 5 minutes (0.083 hours)

  • hourly cost: ~$7

  • automation: 70%

400 × 0.083 × 7 × 0.7 = ~$163/month

Per year: ~$1,950.

How to Show Impact to the Client#

Bad:

"We'll build you a cool AI agent"

Good:

"Your manager spends 30 hours per month on typical questions. That's ~$200. The agent will handle 80% for you. You'll save ~$160/month and free the manager for sales."

Cases with Numbers (2026)#

Case 1: FAQ Agent for Online Store

  • before: 500 questions/month, 5 min each, hourly cost ~$5.50

  • after: agent handles 70%

  • effect: ~$160/month saved + faster replies → higher loyalty

Case 2: Qualification Agent for Agency

  • before: 100 leads/month, 15 min per lead, 10% conversion

  • after: agent filters 40% cold leads, manager works only with warm ones

  • effect: conversion up to 18%, 10 hours/month saved

Case 3: Booking Agent for Salon

  • before: receptionist takes 30 calls/day for booking, 3 min/call
